Hacks that I use to Save time & Stay Productive in my Business Workflow
We all know that staying on track and being productive in today’s world is more difficult than it ever has been. With constant distractions bombarding us at every turn, it makes running a business that much harder. So how do we stay on track, not loose our minds, and still accomplish at least a few things on our long to do lists? I want to share some simple things that I do during my work day’s so that I can focus on what I need to do!
Now I don’t alway’s stick to this, and in fact I still will be on socials during the day, but I have gotten better about being on social media for a purpose. Instead of hopping on socials to doom scroll, I treat social media as a way to network! I like, comment, and re-share content from other local business owners that I know. If I find myself doom scrolling for 10-15 minutes I know that it is time to hop off and do something else for a while and come back to my “social networking” later.
Speaking of social media, when I am planning and creating content for my social media, I have a very specific process. I write all my content copy in a google document, where I write the caption, keywords, and hashtags in it. Then I write which images/videos I am going to use with the post. And then, if I am creating a reel, I don’t go straight to Instagram or Facebook to make it. Instead I go to the Instagram Edits App! It is a wonderful video editing tool that allows you to create reels right in the app and then immediately export and schedule them right to your Facebook or Instagram, without getting stuck in the doom scrolling. For static or carousel posts for social media I create all those in the Meta Business Suite (one of my other all time favorite FREE business tools). These hacks have saved me time and time again. Ever since the Insta Edits app came out in April of 2025 I have saved myself countless hours of time, by just opening that app to edit my videos instead of trying to edit them right in the Instagram app. If you want to see some other Facebook and Instagram hacks head over to our blog about Instagram or our blog about Facebook.
I also batch plan and create content for Blogs as well! In fact I wrote this blog in the same one of my “Marketing Monday focus session” as I wrote another blog on a similar topic! Batching and creating content in a blocked off time slot on your calendar can instantly boost your productivity. Not just because you are creating lots of content all at once, but because when you focus on a whole weeks worth of content you are able to strategically and specifically align your content to the kind of work you want in the future. You can be proactive instead of reactive in your content planning. I typically create about 8 blog posts a month, and so setting aside a designated time every month where I can work on 4 blog posts all at once for the beginning of the month, and then set aside another block of time to work on the last 4 blog posts of the month, has significantly increased my ability to create better, more cohesive marketing content.
And lastly, I use my Google Calendar like my life and my productivity depend on it (because a lot of times they do). Having a sustainable business means scheduling your time and energy wisely. From Google calendar I can schedule meetings, phone/video calls, specific tasks, and so much more all in a few clicks. And what’s even more awesome is that my personal calendar, my work calendar (for my other part time gig) and my business are all synced together, so that I can make sure I don’t double book myself. Sometimes I still accidentally double book myself, but it’s a whole lot easier tracking everything I need to do and significantly decreases errors or issues in my schedule.
At the end of the day, productivity is not about cramming more into your schedule. It is about being intentional with your time, your energy, and your focus. The tools and systems I use are not complicated, but they help me run my business in a way that feels sustainable instead of chaotic. You do not have to overhaul your entire routine overnight. Start with one small shift. Maybe that is batching your content. Maybe it is scheduling your week ahead of time. Maybe it is getting on social media with a clear purpose instead of scrolling without direction. Small, consistent changes build serious momentum. And when you treat your time like it matters, your business starts to reflect that.
